Supplier links: How to respond to a buyer and sign documents

How suppliers use secure links to review buyer requirements, upload tender responses, sign meeting minutes, and submit feedback.

What this is for

When a buyer invites a supplier to submit a tender proposal, sign contract review minutes, or provide quarterly relationship feedback, the supplier receives a secure personal link by email. Suppliers do not need to create an account, enter a password, or sign in to use these links. A tender response link opens the response page and can be reopened to see your receipt. Signing and rating links work once and expire after fourteen days.

Tender response links

When invited to bid on a public framework requirement or a private contract, the link opens the response page. Here the supplier can review the specification, download requirement packs, upload their written proposal and optional pricing schedules, and confirm submission. Once submitted, the supplier receives an on screen receipt confirming that their response was delivered to the buyer.

Signing and feedback links

Buyers also use secure supplier links to complete post award governance across public and private contracts:

  • Signing review minutes: After a review, the buyer seals the minutes and emails you a signing link. You read the sealed minutes, type your full name, tick the box to confirm and choose Sign the minutes. Your signature is recorded against the exact text the buyer sealed, which nobody can change afterwards.
  • Quarterly relationship feedback: You score three questions from one to five about payment, scope clarity and approvals. Your answer is never shown to the buyer on its own. An average is published only after the quarter closes and at least three different suppliers have answered. Your optional comment is not shown to the buyer.

Step by step: Submitting a response

  1. Open the invitation link received in your email.
  2. Review the requirement summary and download the attached documents.
  3. Attach your completed proposal document and any requested price schedule.
  4. Select Submit response. Keep the confirmation reference for your records.

If it goes wrong

If opening a link shows a page stating that the invitation was withdrawn or has expired, contact the buyer organisation to request a fresh invitation link. If you experience a network timeout while uploading large proposal files, check your internet connection. Your entries stay in the open page if the connection drops, but they are lost if you refresh, so keep the page open and choose Try again.
